zoOceanarium Group specializes in developing and operating world class aquariums, zoos and nature- based science centers. We provide services from concept design to managing daily operations and everything in between. With employees from all over the globe, zoOceanarium Group consists of animal care specialists, animal trainers, veterinarians, design specialists, project managers and operational staff.

zoOceanarium Group is continuing to expand their team and looking to recruit a talented Projects Administrator. You will manage the administrative and clerical tasks for the projects worldwide. In this role, you will be required to travel to the various international project sites with United Arab Emirates being the main base.

Duties:
  • Provide administrative support to ensure effective, timely and accurate operations.
  • Develop and maintain projects paperwork, database, drawings, file management etc.
  • Support project staff in preparation of documentation, presentations, review plans and drawings, review weekly / monthly handover reports etc.
  • Develop a project portfolio for use across a range of existing and future projects.
  • Manage the departments cloud storage and backups.
  • Follow Standard Operating Procedures to exceed the operational requirements and ensure staff and client receive the highest standards of quality and service at all times.
  • Liaise with clients and the executive team to manage administrative operations.
  • Manage procurement requests for various departments and liaise with suppliers.
  • Ensure office files and documentation are maintained efficiently.
  • Record expenses for submission to the General Head Quarters.
  • Communicate information to the General Head Quarters.
  • Manage and coordinate repairs to office equipment.
  • Maintain confidential records and files efficiently.
  • Assist with staff recruitment trackers and databases.
  • Assist with staff visa processes, staff housing, uniform, leave tracker and gate passes etc.
  • Provide training in project and administrative systems.
  • Coordinate with existing administrative staff within zoOceanarium Group, collaborative project partners and administration teams.
  • Support the communication within the project team and with external stakeholders.

Position Requirements:
+5 years administrative experience handling projects.
  • Good organizational and communication skills.
  • Excellent skills and knowledge of Microsoft Word, Excel and PowerPoint.
