PA to Director of Overseas Projects






PA to Director of Overseas Projects/Animal Records & Transactions Officer
(Salary circa £18k- £20k depending on experience)

Howletts Wild Animal Park and Port Lympne Reserve are part of a charity based organisation, The Aspinall Foundation (TAF). TAF is committed to protecting rare and endangered animals from extinction. We are proud to be the home of one of the world’s most prized wild animal collections and we also manage projects in Africa, Indonesia and Madagascar.

The Role
Based at Port Lympne Reserve, the role is two fold;
The PA to the Oversees Projects Director, to whom you will report directly, will involve general admin duties (typing, filing, diary, report writing etc); dealing with correspondence, organising appointments, meetings and organising all overseas travel from visas to flight bookings. You will be responsible for collecting, collating and standardising the accounts, producing and updating spread sheet reports on all expenditure, processing invoices and tracking accounts against budgets. Taking minutes at meetings and designing and producing PowerPoint presentations.              
The Animal Records and Transactions duties involves liaison with the parks Animal Directors and Veterinary Department for the weekly input of animal section reports along with veterinary reports and treatments, producing a monthly collections inventory and report for ISIS using the web based system ZIMS. Responsible for completing all the necessary paperwork required for animal transports and will liaise with CITES, DEFRA, freight handlers, shippers etc as required. Regular liaison with the parks animal personnel and external bodies and other collections and institutions world wide for data reconciliation.

The Person
We are looking for someone with previous experience as a PA or in a Senior Administrative role. You must be highly organised and self motivated; able to work without supervision; must be accurate in written work with excellent attention to detail; excellent interpersonal skills; good IT skills with an excellent knowledge of Microsoft Word, Excel & PowerPoint; must have previous experience of account handling and budget reporting. Your own transport is essential. An animal conservation background would be an advantage but not essential as we will provide full training. It is more important that you have the confidence and experience to deal with a wide range of administrative tasks, particularly budget management and enjoy the challenge of learning new systems and dealing with different organisations.  
We are looking for someone to start in the role as soon as possible to benefit from a full handover from the current job holder. Working hours are normally Monday – Friday 9.00am to 5.00pm. Animal Records Keeper

The successful applicant will be required to work a flexible 40 hour week, mainly based at Banham Zoo, but this may entail some time at our sister park, Africa Alive!, near Lowestoft.

The main activity will be ensuring the animal records are kept accurately and up to date under the supervision of the Conservation Officer.

You will also assist in the daily administration tasks within the animal management department covering work for all three of our parks.
We are looking for someone who has an eye for detail, is numerate, accurate and well organised.

Prospective candidates should have a high level of computer literacy with a good working knowledge of Microsoft Office (especially Excel).

Excellent document presentation skills and written English are essential as well as a good standard of education.

Related experience or qualifications would be an advantage.

This is a full time role and salary will be £13,500c. dependent on experience.
A full UK driving licence is essential.

Twycross Zoo - Deputy Registrar


Twycross Zoo – East Midland Zoological Society (TZEMZS), the World Primate Centre, has over 1,000 animals and is the most comprehensive collection of primate species and subspecies in the western world.


A new, permanent position has become available for a Deputy Registrar to assist the Zoo’s Registrar in all areas related to animal records and animal transfers and to assist with the administration work within the Life Science Department. The role would suit a Biology or similar graduate or someone with high level secretarial and/or administration skills, likely to have been acquired by experience of working in a similar role. The successful candidate will be well organised, competent with computer data entry and pay close attention to detail. Working with ARKs/ZIMS databases would be an advantage but not necessary. Familiarity with the import/export of animals and associated paperwork would also be an advantage.


The role is full time, 40 hours per week, Monday to Friday. Salary is commensurate with experience.

Purpose:
The incumbent will be responsible for the ‘incubation and rearing unit’, a large number of parrot aviaries and co-ordination of the hand rearing side of conservation projects for Ground Hornbills and Wattled Cranes. This is a job for a dynamic, enthusiastic and energetic person.

Responsibilities:
The incumbent will be responsible for all areas and tasks related to ensuring and maintaining the birds in good condition, medically, behaviorally, general wellbeing and will need to ensure an international standard of animal husbandry. Be able to act on any abnormal bird behaviours. Join and be an active member of the Wattled Crane Recovery Program and Ground Hornbill Program. Run the incubation and hand rearing unit according to protocols. The incumbent will guide, lead and carry out incubation and hand rearing, Coordinate, lead and motivate hand rearing teams and must keep up to date electronic records of all hand rearing. Ensure all equipment is well maintained and in working order. Ensure high standards of Aviculture. Assist the Curator with bird acquisitions when needed. Ensure proper record keeping within the Section. Provide behavioral enrichment for the birds in their care. Assist with nutritional evaluations of the diets. Conduct daily animal census. Be able to trap/catch birds for movement when necessary. Participate in educational activities when required. Supervise and train animal attendants and learner keepers and carry out disciplinary procedures when necessary.

Requirements:
National Diploma or Degree in Agricultural Sciences, Nature Conservation, Animal Health or a relevant qualification within the field, Must have a valid driver’s license and have access to own transport; 3+ years ‘experience within a bird department, Proven ability to incubate and hand rear birds successfully, Physical ability to do the work. The incumbent will need to be enthusiastic and a great team worker who is able to achieve goals by specific deadlines. Extra hours will be compulsory in evenings, weekends and public holidays especially during breeding season. Live food breeding, falconry experience and ability to run a mouse breeding unit would be advantageous.

Port Lympne Wild Animal Park is seeking an experienced and hardworking dedicated keeper to deputise in a small team of enthusiastic likeminded keepers. We have one of the leading collections of large carnivores in the UK including snow leopards, tigers, lions, cheetah, wild dogs, wolves and hyenas. The position will also include some reptile work.

This is a very physical role and the successful applicant will be expected to undertake all duties on the section from cutting up/prepping meat, cleaning, maintaining records to designing and building enclosures. The deputy will be required to manage the section in the absence of the Section Manager. Conservation education plays a big role in the park so there will be plenty of opportunities for doing talks and displays to the public.

You must have significant experience working with large carnivores in a zoo park or equivalent environment and posses an excellent knowledge of large carnivores. Hands on catch and restraint experience and meat preparation experience is a must as is a full valid driving licence. We are looking for an individual who is hardworking, passionate and committed with a knowledge of current conservation issues and experience in recordkeeping, writing risk assessments and presenting talks to the public.

Some reptile experience would be an advantage as would a firearm licence and experience gained in off road driving. An animal management qualification or equivalent is not essential but would be an advantage as would experience in a supervisory or leadership role.

Reports to: Reptile Curator - Zoo Curator - Zoo Director

As a Reptile Keeper, you will have primary responsibility for the care and well being of animals under your supervision. Zoo Reptile keepers must also be understanding and sensitive to the needs of the animals under their care. They are responsible for the animal’s exhibits, involved with maintenance and landscaping, and presenting at daily demonstrations. Zoo Reptile Keepers are dedicated to conservation issues and animal welfare.

Australia Zoo Reptile Keepers continually work toward providing improved facilities and care for their animals. They do this with enthusiasm and motivation towards their individual learning and training.

The main duties include:

• Undertaking cleaning and maintenance of animal enclosures
• Assist with the planning, development and construction of animal enclosures
• Conduct animal health checks
• Prepare food and conduct feeding of animals in accordance with diet requirements, feeding schedule, and procedures
• Maintain records of observations and reports on animal behaviour and breeding
• Conduct environmental and enclosure safety checks
• Undertake animal enrichment programs
• Provide a high standard of customer service
• Undertake public speaking and/or delivering shows
• Work within the guidelines of health and safety procedures to ensure animal, personal and guest security
• Commitment to Australia Zoo’s confidentiality and privacy policies
• Participate in performance training and development reviews or programs as requested by the company both on and off the job
• Attend meeting as requested by Supervisor
• Other duties as requested by the Reptile Curator, Curator or Zoo Director

This position requires long term commitment working alongside management to further develop display areas and conservation efforts.

Marwell Wildlife is a registered charity dedicated to the conservation of wildlife and the natural world, working in Africa and in Hampshire.

We are currently looking to recruit two keepers to work within the animal collection. One position is working on a mixed species section which includes small primates and birds, the other is on our carnivore section working with a wide range of species.

Previous experience is essential for the carnivore role and advantageous for the mixed species section.

The applicant should possess the Advanced National Certificate in the Management of Zoo Animals or related qualification.

Roles and responsibilities include daily animal husbandry, maintaining good health in the animals and keeping daily checks and records.

The chosen applicant is expected to be able to work well as part of a team, be hard-working, self-motivated and able to use their initiative. The applicant must possess good interpersonal skills including talking to members of the public which is an essential part of the role.

A full driving license is advantageous.

Job description for the position as a Laboratory Assistant and Junior Veterinarian:

  • 70% laboratory work 30% veterinary work

Applicants for the position must fulfill the following requirements:


  • Veterinary degree and some basic experience.

  • Experience in identification and differentiation of blood cells.
  • Ability to work independently and within a motivated team.

KEY DUTIES, RESPONSIBILITIES & ACCOUNTABILITIES

PEOPLE MANAGEMENT
• Compile Zoological Team rota’s to ensure adequate team cover for both Ranger Team and Dive operations within Budget and distribute 4 weeks ahead
• To agree short / medium / long term goals for self and each BPA ranger team member and focus on achieving such goals through clear objectives and clear timescales
• Responsible for undertaking the Induction, training and appraisals for the BPA Rangers Team. • Co-ordinate the BPA volunteer and work experience programs and training programs.
• Represent the Zoological team at BPA management level by attending meetings and assuming Duty Management responsibility as and when agreed on a BPA Management Rota.

FINANCE MANAGEMENT
• To assist the Zoological Manager in controlling costs and expenses to budget obtaining best value for money on expenditure
• Review with Zoological Manager on a monthly basis departmental expenditure
• Assist the Zoological Manager with timely and accurate completion of Zoological payroll reporting to deadlines
• Ensure that consumables are kept in stock to meet the requirements of the zoological department rangers and divers

ANIMAL HUSBANDRY & DISPLAYS
• Day-to-day management of animal husbandry through a hands on involved approach
• Assist Zoological Manager in ensuring that BPA displays and exhibits are maintained to a high standard (weekly walkabout report used to identify positive and negative feedback on exhibits)
• Monitor the water quality of BPA exhibits within parameters assigned by Zoological Manager
• Maintain clean, tidy and safe standards of all plant rooms, tool rooms, laboratories and quarantine facilities
• Monitor and meet the nutritional requirements of BPA animals
• Responsible for the maintenance and upkeep of assigned exhibits
• Support Dive Officer and Zoological Manager with main tank maintenance and husbandry activities
• Assist Zoological Manager providing support for Night Watchman for exhibit life support systems

ZOO LICENCE
• Assist Zoological Manager in ensuring that BPA adheres to all applicable regulatory framework requirements – e.g. Zoo Licence, Health and Safety, Diving at Work Regulations 1997 etc
• Maintain BPA livestock records utilising current recording protocols - 7 Column format, ICIS – in accordance with Zoo Licence regulations
• Be an active participant of the Deep Sea Leisure Ethical Review Committee

STRATEGIC MANAGEMENT
• Production of development plan for assigned exhibits
• Support Rangers with submission of development plans for exhibits and monitor progress to completion
• Invest time in compiling plans for Zoological CAPEX proposals in July on an annual basis
• Completion of any approved Zoological CAPEX projects within budget and in agreed timescales

PERSONAL MANAGEMENT
• From time to time the company or manager may make reasonable requests for you to undertake duties not necessarily covered in the above

International Species Information Systems (ISIS) was founded in 1973 when Drs. Ulysses Seal and Dale Makey proposed the idea of an international database to help zoos and aquariums accomplish long-term conservation management goals. At that time, 51 zoos in North America and Europe responded to the invitation to participate in this network.

The Association of Zoos and Aquariums (AZA), the American Association of Zoo Veterinarians (AAZV) and other zoological associations provided grants and endorsements for ISIS. In addition, the doctors raised development funding from private foundations and the United States Department of Interior. The Minnesota Zoological Garden hosted the program for 15 years.

Since 1989, ISIS has been incorporated as a non-profit entity under an international Board of Trustees elected by subscribing member institutions. ISIS has sustained annual membership growth over the last 30 years. Today, ISIS members number in excess of 825 institutions in 76 countries on six continents.

ISIS also serves as a center for cooperative development of zoological software for in-facility use. This allows software development costs to be spread across more institutions – making professional software and professional-level support available to all participants at a reasonable cost.

LOCATION: Eagan, Minnesota

This Minneapolis/St. Paul area offers a high quality of life, modest housing costs and some of the best public schools in the United States.

REPORTING RELATIONSHIP: This position reports to the Board of Trustees, and will directly supervise five full time staff at the corporate office to include an Assistant Director/Chief Technology Officer, an Administrative Manager, a Director of Science, a Certified Help Desk Manager, and a Communications Coordinator. The Chief Executive Officer will also have oversight for a total of 30 information technology and zoological professionals, including five distributed member-support positions located in Amsterdam, Sydney, Bogota, Delhi, and Tokyo.

POSITION CONCEPT: The Chief Executive Officer will lead a management team and collaborate with the Board of Trustees in an effort to enhance and grow the ISIS value proposition to the global membership.

Chief Executive Officer will provide overall leadership with an emphasis on technology management as well as the advancement of a strategic direction with an international reach. The Chief Executive Officer, while possessing the necessary technical skills to carry out the defined responsibilities, should also have the personal capabilities and character to effectively interact with and be sensitive to the varied needs of a global membership. He/she will take a long-term view, while obtaining short-term quantifiable results.

It is of paramount importance that this person effects meaningful, carefully planned, and organized change while understanding when technology can solve real world problems. The successful candidate will inherently recognize the balance between the organization’s limited resources and the need to think in a manner that is entrepreneurial, innovative, and service focused.

SPECIFIC DUTIES: Lead the largest international non-profit zoological information services membership organization, implementing the mission and vision developed by the ISIS Board of Trustees. This will include the ongoing review and, as appropriate, revision of organizational structure, objectives, and goals.

Develop and implement more rigorous and disciplined project management processes/methodologies that will improve efficiency, productivity, costs, and the timely, successful completion of projects.

Assure the recruitment, development, training, and evaluation of qualified personnel to support the operations of the organization. Evaluate, develop, and implement human resources policies and procedures to insure efficiency, exceptional service delivery, and ongoing personnel assessment opportunities.

Offer strong, credible, and consistent professional management to the staff.

Provide direction and oversight to outside vendors to insure all contractual obligations are met on time and within budget.

Prepare and monitor budgets to assure fiscal health, accountability, and stability, while working closely with the Treasurer, for Board review and approval.

Build and enhance living collection information services and trust-based relationships with all member zoological institutions worldwide.

Assess the organization and develop a growth-oriented strategic plan that capitalizes on its strengths and capabilities.

Maintain organizational awareness of best practices while promoting the effective use of current and emerging technologies.

Identify new member institution services and suitable new revenue opportunities. Ensure the generation of additional income necessary to sustain the organization and enable growth.

Provide the Board of Trustees with regular reports on projects, process improvements, service levels, and operational issues.

Engage the membership in the proactive exploration, discussion, and assessment of ISIS services and offerings. Deliver on membership needs as a result of this input and communicate the outcomes with transparency.

Act as a sponsor for a very large community collection-management software project (ZIMS). Insure that all project related deadlines/deliverables are met.

Provide sound business judgment as well as entrepreneurial leadership and vision to technology functions worldwide. Build a business plan supported by a credible and reasonable business case.

Serve as the ambassador to over 20 zoo-, aquarium-, and related professional associations at global, regional, and national levels worldwide.

Support the ISIS Board of Trustees in policy and strategic organizational development.

CANDIDATE QUALIFICATIONS: The ideal candidate will be a highly energetic, diplomatic, and entrepreneurial leader with a minimum of ten years of progressively responsible management experience, five of which will include executive level experience gained in either the non-profit or business sectors. Must have excellent planning, administration, leadership, and financial management skills as well as a high degree of emotional intelligence. Experience leading a membership organization and/or association as well as familiarity with zoos and aquariums would be a plus. Additionally, management experience gained in a software company, software consulting/professional services firm and/or highly technology reliant organization would be of interest.

The successful candidate will have a fundamental appreciation and understanding of conservation and its impact on the global community.

Must be able to build cooperation cross culturally and worldwide; an appreciation of the organizational dynamics of an international membership organization is essential.

While ISIS is not seeking a “technologist,” they do want an arbiter who is sufficiently competent with technology and its attendant issues to ask the right questions, give appropriate guidance, and ensure that decisions serve the best short- and long-term interests of all stakeholders.

Be able to present complex information system issues in straightforward terms to zoo and aquarium professionals who do not have technical backgrounds.

Intelligence and interpersonal skills required to effectively partner with the Board of Trustees and other sources of influence.

A strong commitment to and demonstrated experience in providing high quality, client-oriented service.

Collegial and collaborative work style; adept at leading others through process rather than by mandate; able to be tough-minded if required to ensure goals are met.

Pro-active rather than reactive, this individual must possess strong decision-making skills, be willing to take action, and capable of implementing work plans within appropriate deadlines.

The following personal traits are extremely desirable: unquestioned integrity; a passion for excellence; empathetic; excellent listening skills; persuasive communications skills; an entrepreneurial spirit; politically astute; an open mind; and diplomatic yet decisive.

The ability to function as a catalyst, coach, and doer, guiding people at all levels of the organization by utilizing a facilitative approach.

A demonstrated knowledge of managing people and global technology operations through change and expansion.

This executive should have the ability to control and move forward on several priorities simultaneously.

Knowledge of other languages, in addition to English, would be a strong advantage.

Ability to travel approximately 30% of the time, including six or more international trips per year.

EDUCATION: A Bachelor’s degree is required; an advanced degree desired.
