PA to Director of Overseas Projects/Animal Records & Transactions Officer
(Salary circa £18k- £20k depending on experience)

Howletts Wild Animal Park and Port Lympne Reserve are part of a charity based organisation, The Aspinall Foundation (TAF). TAF is committed to protecting rare and endangered animals from extinction. We are proud to be the home of one of the world’s most prized wild animal collections and we also manage projects in Africa, Indonesia and Madagascar.

The Role
Based at Port Lympne Reserve, the role is two fold;
The PA to the Oversees Projects Director, to whom you will report directly, will involve general admin duties (typing, filing, diary, report writing etc); dealing with correspondence, organising appointments, meetings and organising all overseas travel from visas to flight bookings. You will be responsible for collecting, collating and standardising the accounts, producing and updating spread sheet reports on all expenditure, processing invoices and tracking accounts against budgets. Taking minutes at meetings and designing and producing PowerPoint presentations.              
The Animal Records and Transactions duties involves liaison with the parks Animal Directors and Veterinary Department for the weekly input of animal section reports along with veterinary reports and treatments, producing a monthly collections inventory and report for ISIS using the web based system ZIMS. Responsible for completing all the necessary paperwork required for animal transports and will liaise with CITES, DEFRA, freight handlers, shippers etc as required. Regular liaison with the parks animal personnel and external bodies and other collections and institutions world wide for data reconciliation.

The Person
We are looking for someone with previous experience as a PA or in a Senior Administrative role. You must be highly organised and self motivated; able to work without supervision; must be accurate in written work with excellent attention to detail; excellent interpersonal skills; good IT skills with an excellent knowledge of Microsoft Word, Excel & PowerPoint; must have previous experience of account handling and budget reporting. Your own transport is essential. An animal conservation background would be an advantage but not essential as we will provide full training. It is more important that you have the confidence and experience to deal with a wide range of administrative tasks, particularly budget management and enjoy the challenge of learning new systems and dealing with different organisations.  
We are looking for someone to start in the role as soon as possible to benefit from a full handover from the current job holder. Working hours are normally Monday – Friday 9.00am to 5.00pm.
